Immunizations Module

Patient immunizations can be manually entered or pulled from an EHR to keep patient vaccination data up to date.

Navigation to Immunization Module

Immunization records can be found and tracked for patients by navigating to the ‘Clinical Data’ tab under a patient file.

Select the tab and scroll down until you see ‘Immunizations.’ Click the section to expand its contents.

An immunization table will be presented with the following columns:

  • Immunization

  • Date

  • Status

  • Route

  • Notes

  • Sources

  • Actions

Utilizing the Immunizations Module

To manually enter in a vaccination record, find the ‘New Immunization’ button on the left-side of the table. Click on it to bring up the ‘Add / Edit Immunization’ module.

The Add / Edit Immunization module contains the following fields where data can be entered:

  • Immunization

  • Status

  • Date

  • Route

  • Notes

Note: The Immunization and Date fields are required to save an immunization to a patient's file.

To add an immunization, begin typing the name of the vaccine into the appropriate text entry box. As the user types, the drop-down will populate with vaccine names to choose from.

NOTE: The following vaccines will have a tooltip with a description of the vaccine within the Immunization table once saved:

  • Influenza Vaccine

  • Zoster Vaccine

  • Pneumococcal Vaccine

  • Tdap/Td Vaccine

  • Covid-19 Vaccine

  • HPV Vaccine

  • MMR Vaccine

  • Varicella Vaccine

  • Hepatitis A Vaccine

  • Hepatitis B Vaccine

  • Meningococcal Vaccine

  • Polio Vaccine

Next, the ‘Status’ of the immunization can be recorded. Status may be set to:

  • Completed

  • Immune

  • Medical Exemption

  • Not Done

  • Overdue

  • Patient Refused

  • Scheduled

Then the user may move to the ‘Route’ drop-down box and select the route of vaccination. Routes that may be chosen include:

  • Oral

  • Intranasal

  • Subcutaneous

  • Intramuscular

Finally, enter the date (dd/mm/yyyy) the vaccine was administered, any associated notes the user would like to document, and then click save when all associated information has been entered.

Once saved, the immunization data will populate within the table.

If the exact date of an immunization is unknown, then the user may click on the checkbox button next to ‘Patient Unable to Recall Date.’ The month and year that a patient can best recall for an immunization can be entered in the ‘Date’ (mm/yyyy) entry box. Click save to continue.

If an additional dose needs to be added to a type of immunization, then the user can click the ‘ + ‘ icon underneath the ‘Date’ column of that immunization.

This will bring up the Add Immunization modal.

If the exact date of the immunization is known then the user can enter the specific date, hit save, and see that the new date of immunization became populated within the Immunizations table.

To see additional dates for an immunization, click on the ‘Up Arrow’ within the ‘Date’ column.

Clicking on the arrow will drop down any additional dates associated with that immunization.

If the exact date can't be determined by a patient, then a user may click the checkbox for 'Patient Unable to Recall Date' and enter in an approximate date for the immunization.

Once saved, you will see the entered data within the table and can view additional dosage dates that a vaccine might have required.

The ‘Source’ column will display the word ‘Manual’ when an Immunization record is entered into the table by a user.

When an immunization/vaccination record is imported from an EHR, then the following information is present in their Immunization table:

  • Immunization name

  • Immunization date

  • Source

Immunization records can be pulled into ThoroughCare software through an EHR. When data is pulled into the Immunization table this way then the value listed under the ‘Source’ column will be shown as 'Clinical_Network.’

Underneath the Actions column of the Immunization table are two buttons that will let you edit the immunization record or remove it from the patient file.

Immunization records may be filtered to help a user find specific vaccination information. You can find the ‘Filter’ button in the top-right above the ‘Actions’ column.

Filters can be set for Status, Route, and a range for dates.
