Set a patient's alternate department.

Patients can exist in multiple departments within Athena, so we've expanded ThoroughCare's department functionality to enhance our integration. Patients will still be imported based on their Athena enterprise ID, but ThoroughCare now provides the option to set up an alternate department for claim uploads.

Adding the Patient's Alternate Department

When the practice has the alternate department functionality enabled, users will notice two new fields in the "Edit Patient" modal and in the patient demographics banner. These fields are "Alternate Department" and "Alternate EHR ID".

When the patient is updated from the EHR, ThoroughCare will pull in all the departments in which the patient exists. These departments will be displayed in the "Alternate Department" dropdown:

Select the department to which claims should be uploaded from the dropdown and save the changes:

When the patient is saved, the page will automatically refresh and also update the "Alternate EHR ID" with the appropriate patient ID:

Claims and Care Plan Uploads

When the alternate department is selected and the patients' alternate ID is populated, the department on new and resubmitted existing claims will update with the alternate department.

When selected, the alternate department will also be the default to upload care plans. A different department can still be selected from the dropdown if the user so chooses:

Changing and Clearing the Alternate Department

If it is determined that the alternate department should be changed or removed, users can navigate to the "Update Patient" modal and use the buttons to make changes. If the user selects a new department from the dropdown and updates the patient, the page will refresh with the new Alternate EHR ID. If the user selects the 'X' to clear the department and updates the patient, both fields will be cleared upon automatic refresh:
