What's the first step in using your individual ThoroughCare site? Adding your first patients! This article will walk you through filling out the correct information needed to load your patients successfully into ThoroughCare (Import Template Is provided at the bottom of this article).

Note: This article is meant for practices that do not have their ThoroughCare site linked to their EHR (i.e. Dr Chrono, Athena, Epic). Click here to navigate to the EHR patient import article.

To Begin: 

Know what information you would like to have added to your patients in ThoroughCare. We recommend providing as much information as possible when completing the import template for new patients. This tends to make life easier when managing patients and their chronic conditions. Below is a list of required and optional information you may upload for your patients...

Using the Patient Import Template

The patient import template serves as a structured tool to import patient data into the ThoroughCare application effectively. Follow the steps below to prepare and upload your data correctly:

  • Ensure the template contains all required and optional fields before submission.

  • Double-check that no columns are altered or removed as any structural changes will cause upload errors.

  1. Download the Patient Import Template (ThoroughCare Patient Import Template.csv)

    1. Ensure you have the official patient import template provided by the ThoroughCare application.

  2. Populate the Template With Your Data

    • Transfer data from your source file into the patient import template.

    • Match the data fields in your file with the corresponding columns in the template.

  3. Do Not Alter the Template

    • The structure of the template must not be altered. Do not add new columns or remove existing ones. Doing so will cause errors during the import process.

  4. Verify Data Accuracy

    • Ensure that all data entries align correctly with the template's predefined fields.

    • Double-check that no data is misplaced, as the template uses these mappings to import data into the accurate sections of the application.

  5. Save the Template

    • Save the file in its original format, ensuring compatibility during upload.

Note: Including the EHR ID in the Patient Import Template is not required, but it is highly recommended that it be filled out. Without this field being filled out, you can run the risk of creating duplicate patients and may be unable to update patients using the template in the future.

Submitting The Patient Import Template

Once the Patient Import Template is filled out, you can proceed to upload it into ThoroughCare. This can be done one of two ways:

  • Provide the ThoroughCare Support team with the file, and they can upload it to you

  • Follow the instructions in this article to upload the template yourself

Please note that the second option is preferred, as it establishes a secure file upload connection so that you can bulk upload future templates as well, including uploads that fix information about existing patients.

Troubleshooting

  • Error After Upload: If you encounter an error, recheck that:

    • No columns were added or deleted.

    • Data aligns correctly with the template's column headers.

  • Mismatched Data Fields: Ensure data from your source file has been matched to the correct columns in the template.

Common Errors to Avoid

  • Misplacing Data: Verify that data is entered in the appropriate field corresponding to the column names in the template.

  • Altering the Template: Do not change the structure by adding or deleting columns.

  • Uploading Incorrect File Format: Ensure you save the template in the correct original format.
