Program Restrictions for Users

Restrictions can be applied to user profiles to limit access on selected programs.

Set Program Restrictions on User Profiles

Program restrictions can be applied by Admin users when creating a new user or editing the profiles of existing users. Begin by navigating to the ‘Users’ section under ‘Management’ in the side-menu.

Click on either the ‘+ Create New User’ button or search for an existing user, then click on the ‘Edit’ button connected to their account.

Depending on the workflow, the ‘Create User’ or the ‘Edit User’ modal will be displayed. Scroll to the ‘Program Restrictions’ section located towards the bottom of the screen.

Clicking on the ‘Program Restrictions’ dropdown field will allow admin users to select one of the following choices: ‘No Access’ or ‘Read Only.’

Next, a user can select which time-logging program(s) the program restriction should be applied to by marking the corresponding checkboxes.

NOTE: Restricted access cannot be mixed and matched amongst programs. A user can only be ‘No Access’ for all selected programs or ‘Read Only’ for all selected programs.

Finally, a user can click the ‘Update User’ button to save the desired restriction.

A toaster notification will be shown if the update to the user profile is successful.

If an Admin tries to place program restrictions on a user who currently has patient assignments in the selected programs attempting to be restricted, then they will receive a pop-up message indicating that they must first remove that user’s patient assignments in the programs they wish to restrict in order to continue.

NOTE: Removal of patient assignments can be done through:

  1. Actions on individual patient charts.

  2. In user profiles through the ‘Reassign’ button.

  3. In program worklists with filters and the ‘Reassign Care Team’ bulk action.

  4. Through the ‘Patient Assignments’ section under ‘Management’ in the side-menu.

Types of Program Restriction

No Access:

Selecting ‘No Access’ will prohibit users from accessing the selected program’s worklist or from selecting the respective program under a patient’s ‘Care Management’ tab. The program’s Clinical Review tab will also be restricted from viewing on patient charts.

If ‘No Access’ has been applied to a user then they can still view patient problems from the ‘Summary of Care’ tab, however, any problems that are only associated with programs they’re restricted from will be grayed out with no ability for interaction.

Read Only:

Selecting ‘Read Only’ will still allow a user to view and access all program worklists, even for programs that have been checked off for restriction. However, such users will not be able to make updates to any restricted program’s worklist.

‘Read Only’ users can also access all ‘Care Management’ programs that a patient is enrolled in. They are only restricted from making updates to any programs that the user is restricted from.

If ‘Read Only’ has been applied to a user then they will be able to view patient problems and their associated Care Plan items under the ‘Summary of Care’ tab, but they will not be able to edit Care Plan items for problems only associated with restricted programs.

‘Read Only’ users also won’t be able to document time for programs they are restricted from but can still generate time-based reports. They also cannot edit or add Vitals data.

NOTE: Program restrictions can be applied to Admin users, however Admin users are able to remove any restrictions placed on their user profiles.
