Information about monitoring your bulk care plan generation/upload and bulk claim upload.

The ThoroughCare team has implemented an easy way for users to monitor the status of their bulk care plan generation and upload, as well as their bulk claim uploads. This feature is intended to provide users with insight into how their bulk actions are progressing as well as retain the job statuses across practices to prevent confusion.

Care Plan Job Status Monitoring

Users will notice the new "Job Status" monitoring button at the top of their ThoroughCare page when triggering a bulk care plan report or uploading care plans in bulk to their EHR. The "Job Status" monitoring option will only appear for bulk care plans, not single care plans since bulk care plan generation takes much more time than single care plans.

Navigate to any program worklist to generate or upload care plans in bulk. Use the leftmost column to select all care plans that need to be generated or uploaded.

Select the "Bulk Actions" dropdown, then choose "Care Plan Report".

Select all options that should appear on the Care Plan. Once all options have been selected, choose "Generate" or "Upload to EHR" if your practice is integrated with an EHR.

The Care Plan Report modal will close, and the green confirmation notification will appear as usual. Behind the notification, the new "Job Status" button will appear.

Selecting this button will display a dropdown with the progress of the care plans that are being generated or uploaded. The dropdown will detail the number of care plans that have been processed compared to the total number requested, as well as provide an estimate of the amount of time remaining. Please note that the estimated time remaining is based on the amount of time that the previous care plans took to process. This means that for the first care plan, there will be no estimate. The button will persist if the user switches between practices, and additional jobs will be appended to the dropdown if initiated while previous jobs are running.

Once the process has been completed, users can again select the button to view the status of their care plans. The dropdown will display the number of care plans that were uploaded or generated successfully, as well as the number that failed. Users can view the detailed result of this process in their Download History for further information.

The "Job Status" button will disappear 60 seconds after the job has been completed.

Claim Job Status Monitoring

The process for monitoring the status of claims is similar to care plans; the main difference is that users will not see the job status button if they are not integrated with an EHR. This is because marking the claims as submitted in bulk does not require much processing on the ThoroughCare side. Similar to the care plans, the "Job Status" monitoring option will only appear for bulk claim uploads, not single claim uploads.

Navigate to the Billing and Claims worklist to upload claims in bulk. Use the leftmost column to select all claims that need to be uploaded.

Select the "Bulk Actions" dropdown, then select "Submit All".

The orange notification will appear as usual. Behind the notification, the new "Job Status" button will appear. Selecting this button will display a dropdown with the progress of the claims that are being uploaded. The dropdown will detail the number of claims that have been processed compared to the total number requested, as well as provide an estimate of the amount of time remaining. Please note that the estimated time remaining is based on the amount of time that the previous care plans took to process. This means that for the first claim, there will be no estimate. The button will persist if the user switches between practices, and additional jobs will be appended to the dropdown if initiated while previous jobs are running.

Once the process has been completed, users can again select the button to view the status of their claims. The dropdown will display the number of claims that were uploaded successfully, as well as the number that failed.
